How To Create A New Contract

After setting up the units and tenants have confirmed the booking, it's time to create a contract — a pivotal element in the tenant journey. Contracts house crucial information about tenancy duration, rent, deposit amounts, selected services, and more. Let's explore the process of creating a contract step by step:


  • Access the Contract Tab: Navigate to “Core" > "My Data" > "Units". Open a specific unit and head to the "Contract" tab. Click the "Edit" button, to add the details of the contract


  • Fill Owner and Tenant Details: On the edit page, input owner details (if applicable). Assign a tenant to the property. If tenant or owner details aren't in the system, use 'Create user' to add them.

  • Select Contract Type: Proceed to the "Unit status" section. In the "Contract type" dropdown, choose from:

  1. Monthly: For contracts without fixed move-out or end dates.

  2. Yearly: When rent is collected via post-dated cheques with an installment structure.

  3. Nightly: For stays less than a month.


  • Choose Tenancy Status: Next will be the "Tenancy status" dropdown, choose the relevant status from - 

  1. Vacant: When the unit is unoccupied.

  2. Booked: Tenant has a future move-in date.

  3. Occupied by Tenant: Tenant's move-in date is today or in the past.

  4. Occupied by Owner: Unit is occupied by the owner.


  • Key Information: Add key information related to the contract such as - 

  1. Specify contract start and end dates.

  2. Enter move-in and move-out dates.

  3. Set notice period duration.

  4. Define lock-in period start date and duration.

  5. Include move-in and move-out times for Google Calendar reminders.

  • Tenancy Terms Section: Enter deposit amount, rent amount, and deposit to the owner. Add tax details, and whether convenience fee is included/excluded.


  • Additional Services: If the tenant opted for extra services, click "Add new service" to include them in the contract.

  • Submission: Once all details are entered, click "Submit" to create the contract.
