How to shift Tenants to another unit?

There are instances where your tenant might want to shift out of their existing unit. It could be for a plethora of reasons ranging from amenities, bigger rooms, utilities etc. For example, say Sam who lives in 405 wants to shift to 305 because of the better ventilation in the new room. In this case, you can shift Sam from their current room 405 to 305 within your property. 



By following the below steps you should be left with a better understanding of how to shift a tenant from their existing unit to a vacant one. It is worth noting that you can only shift tenants from an Occupied" status to a “Vacant” one. 


  • Identify the unit being shifted from: Navigate to Core > My Data > Units, you should be redirected to a screen that looks like the following image below. Select the unit that the tenant wants to move out from that should also be “Occupied”. 


    • Append the Contract: for this example, I will select the unit 'A 201 Coliving Porthos - Floor 2'. It will redirect you to unit details in which you can navigate to Contract section which is adjacent to Unit Details and Documents. 

    • Editing Contract: Once you reach this page click on the <<Edit>> option below which will give you an overview of your contract. Scroll down to Unit Status. 


  • Appending Contract Status: Once you have nsavigated till this point select the option called 'Tenancy Status' The drop-down function should appear, select the option called 'Shifting' and click on submit.


    • Shifting the Tenants: Once you click the submit button on the top right-hand corner,
       The following window should pop up





    • Selecting the new unit: As stated before, if you plan to shift someone into a new unit, ensure it is vacant. In this example, I will select “A 503 Coliving - Maria Bosch 4, Puente de Vallecas, Madrid”. In the bottom left corner, you should also select the date of shifting. Once you have selected all the right details, you can click on Shift. 


    • Navigate to the new Unit: Once you have shifted the tenants into the new unit, navigate to Core > My Data > Unit. Search for the unit that you have shifted into and select it.


    • Updating Tenant Status: Once you have selected the unit, navigate to 'Contracts' and scroll down to Tenant status. When you click on it select the status from 'Booked' to 'Occupied by tenant'. Once you're done with the whole procedure, you can click on submit.
       


    • Converting previously occupied unit into vacant unit: the previous unit that we moved out from -  A 201 Coliving Porthos - Floor 2, should be available for booking since no one is occupying it now. If we navigate to Core > My Data > Units > Search, the respective unit should display as vacant. 


      If you have followed all these steps properly it should navigate you to the Active Contracts page reflecting the status occupied.
